The Hidden Costs of 'Probably on Time'

Here's what I mean. When you order a standard AC motor from a distributor, '5-7 day delivery' often means 'we'll ship it within 5-7 days.' That's just the start. Then it needs to be picked up by a carrier, cross-docked, and delivered to your dock. A '5-7 day' promise can easily stretch to 12-14 days. For a standard part, that's fine. For an emergency repair, it's a crisis.
I built a simple cost calculator after getting burned on these ambiguous timelines twice. It's pretty straightforward: (Hourly downtime cost × Estimated delay in hours) + (Rush fee). If that number is negative, you don't rush. But for our 24/7 operation, it's almost never negative. In 2024, we paid a $400 premium for a guaranteed 2-day delivery on a gearmotor. What About Stepper Motors and Standard Stock?

The One Exception
The one place I've questioned this rule is with vendors who charge exorbitant 'emergency' fees (like 50%+ markup) without a corresponding guarantee.
